RISK / SAFETY - Coach / Volunteer Certification Information
Being a volunteer in hockey is no easy task. Volunteers are often called upon to wear many hats. We want to do our best to ensure that our volunteers are safeguarded and not placed in a vulnerable situation without the proper qualifications.
Please see below for the steps needed to become a volunteer with Chebucto.
Please be aware these steps do not need to be completed in order.
Also be aware that each team can support a maximum number of volunteers after which the team budget will need to account for any additional training or certification above the max. The limits will be detailed by VP Finance and made clear to the team managers.
Step 1 – Do you have a Hockey Canada Registry (HCR) 3.0 Account?
Attention New Coaches and Volunteers;
If you do, you will be able to log in and see your credentials/qualifications under MyAccount->Members:
If you don't , our registrar has opened an online registration which will allow you to easily create a profile and obtain a Hockey Canada Registration number.

There are no fees attached to this registration.
NOTE: We have noticed cases of volunteer information not being transferred to the new Hockey Canada Registration site. We encourage anyone who has volunteered in the past to confirm your qualification/certifcation information still exists.

Your information may not be up to date within HCR. HCR requests that this information be updated:
Once this is filled in you may be asked to check agreement/diagreement to the following "Critical Waivers":
Denoting this is required for approval to be a member of team staff.
Step 2 -- Are you rostered with a team/group?
If you are not rostered or associated with a team or group (e.g. U11AA, U7 Group 1, U18) then please reach out to the registrar:

Please request to be added to the roster with the following information:
Name:
HCR ID (from Step 1 above):
Position (e.g. Asst Coach, Manager, etc):
Team/Group (e.g. U7 Group 1, U11B, etc):
Note: You can start aquiring qualifications prior to being associated with a team, however for costs to be covered you may need to be associated with Chebucto and rostered.
Step 3 -- Do I have the qualifications/certifications needed?

Criminal Record Checks/Vulnerable Sector Check
CRC/VSC- EXPIRES EVERY 3 YEARS - If you have previously shared your CRC/VSC with Chebucto and it has not expired, please let me know and I will confirm that all required documentation is on file with the registrar. If required I may ask that you provide me with a copy or proof from mybackcheck.com if not on file.
Request Criminal Record Check:
- To request a CRC check please "self-request" using the following link https://www.backcheck.net/hockeynovascotia/
- The VP Risk will initiate an invitation via email from the website mybackcheck.com, an on-line method for obtaining a criminal record check.
The email you will receive will read “Hockey Nova Scotia~, Chebucto MHA has sent you a myBackCheck.com invitation! The invitation will allow you to complete their background check/screening requirements online and share your results with them. Please log in at https://www.mybackcheck.com to review the details of your invitation. Hockey Nova Scotia~ would also like to sponsor the purchase of your check.”
- Click on link to create a profile- the system will identify that the email you use has a prepaid back check. Once you create an account and then log on you will have access to the invite.
- With profile complete, log on using your newly created username/password
- Click on “start my check” and again “start my check” to get to the registration screen- follow instructions on page to initiate request.
Vulnerable Sector Check- Serial Number:
- This comes to you in a separate email from backcheck@halifax.ca in a few days following the request for the CRC- look out in your inbox and junk/spam folder.
- The attached results of your Vulnerable Sector Check will include a serial number that you are required to update your MyBackCheck application online. Take note of your serial number for when you receive confirmation that the CRC has been processed- see below
Instructions once CRC is processed:
- Once the CRC has been processed, you will recieve an email stating “Results of your Criminal Record Check have been placed in your account and can now be shared with Hockey Nova Scotia~. Please log in at https://www.mybackcheck.com/Public/Login.aspx and click the View&Share button to complete the process.”
- Log in to your online MyBackCheck account with your username and password.
- Find and click the button titled View&Share.
- In the window enter the VSC serial number provided from the previously received email then click Update.
- Within 24 hours your account will be updated at which point you can log back into your account, click View&Share?to share with the organization requesting the check-> enter Hockey Nova Scotia - Chebucto MHA and select your role (Coach or Volunteer).
Please also send a copy directly to Hockey Nova Scotia C/O - Kelly Dalrymple at this email address kdalrymple@hockeynovascotia.ca
The email must include:
- Scanned / clear copy of the original CRC with VSC (if applicable)
- Your full name
- Your Hockey Canada ID number (Log into your HRC account to obtain https://register.hockeycanada.ca/home)
- Your DOB if you don’t have your HC ID
PLEASE NOTE - CMHA covers record checks on a go forward basis. The CMHA will not be reimbursing for any previous record checks obtained, nor will CMHA be reimbursing for checks done at any of the local law enforcement agencies.
If you choose to do so, you can apply in-person Monday to Friday between 8:30 a.m. to 4:30 p.m ONLY at Halifax Regional Police Headquarters, 1975 Gottingen Street, Halifax. The cost for this is $30 as there is a memorandum of understanding with the HRP for volunteer service. NOTE - you will have to have VSC (Vulnerable sectors check) done on this record if your position is one that puts you in direct supervision of players under the age of 18.
Once you get your criminal record check returned to you they should be sent directly to Hockey Nova Scotia C/O - Kelly Dalrymple at this email address - kdalrymple@hockeynovascotia.ca
The email must include;
- Scanned / clear copy of the original CRC with VSC (if applicable)

- Your HC ID number (Log into your Ehockey account (Link below)
- Your DOB if you don’t have your HC ID
NOTE - There is some discussion on if safety people have to have a VSC (Vulnerable Sectors Check). HNS has ruled that if a police organization will not do the VSC you can pass in your regular CRC. The letter states you are volunteer and around children that are vulnerable under the age of 18 and it is suggested everyone applies for a VSC with their CRC. It is our suggestion not to get too technical at the police station and simply state you are volunteering and that you will be around vulnerable persons.
Step 4 - Reviewing Certifications Once Completed:
Please do not send in copies of your certificates of completion to CMHA or HNS. If you take any course online through hockey University, it will automatically show up on your HCR and if you have all your certifications you are good to coach / volunteer. HNS does approvals approx every week.
If you have a Criminal Record Check this is the only thing that needs to be sent to Kelly Dalrymple at HNS.

NOTE: Your new CRC/VSC information will not appear under the "Qualifications" tab in HCR but under the "History" tab.
DEFINITIONS and Other Notes:
Parent Helper: Someone who is listed on the official team roster and is used for assistance with the Two Deep Policy in the dressing room before and after games. Parent Helpers require the Respect in Sport program and a Criminal Record Check (with the Vulnerable Sector Check).
On-Ice Volunteer: Someone who only assists on-ice during practices. These people require all the same qualifications as any other coach on the team. It is recommended to list them as an assistant coach in case they are required on the bench at some time.
Bench staff must be at least 16 years of age. To be on the bench, they would require Respect in Sport Coach Level and HU-Safety if required for the level they are on the bench.
Trainers: Trainers are not permitted on the ice for practice other than to tend to an injured player. Teams may list more than one (1) trainer although only one (1) trainer is permitted on the bench in any game.
